Terms & Conditions

Please read these terms before confirming a booking. By accepting a quote and paying the deposit, you agree to these Terms & Conditions.
1. Bookings and Quotes
These Terms & Conditions apply to services provided by The Flow and Arts in Calgary, Alberta. Submitting an inquiry does not create a booking. A date and time are reserved only after you accept the quote, pay the required deposit, and receive written confirmation from us.
Quotes are based on the information you provide. Changes to the location, schedule, guest count, services, or event requirements may change the final price. Any additional travel, parking, or event-access costs will be disclosed whenever reasonably possible.
2. Deposit and Payment
A deposit equal to 25% of the quoted total is required to secure your booking. The deposit is applied toward the total booking price. The remaining balance must be paid by the due date stated in your booking confirmation or invoice.
Your booking is not confirmed until the deposit has been received and we have sent written confirmation.
3. Cancellation and Rescheduling
If you cancel a confirmed booking, the 25% deposit is non-refundable because the reserved date and time may no longer be available to another client.
You may reschedule at no additional charge by giving us at least 48 hours' notice. Rescheduling is subject to availability, and your deposit will be transferred to the new agreed date.
Requests made with less than 48 hours' notice will be considered case by case and may be treated as a cancellation. If we must cancel and cannot provide an agreed replacement date or artist, we will refund the deposit and any other amount paid for the affected services.
4. Event Access and Timing
You are responsible for providing timely access to the event location and a safe, clean, adequately lit working area. Delays caused by venue access, the client, guests, or other event conditions do not automatically extend the booked end time.
Service capacity estimates are approximate. The number of guests served depends on design choices, guest cooperation, breaks, event conditions, and the time available.
5. Safety, Supervision, and Conduct
A parent, guardian, or responsible event organizer must supervise children. We may decline service where a person cannot safely participate, does not consent, has broken or visibly irritated skin, or where providing the service would be unsafe.
Please tell us before service about relevant allergies, sensitivities, or medical concerns. We use professional products and reasonable hygiene practices, but individual reactions remain possible. We may stop or refuse service if the environment or conduct is unsafe, abusive, discriminatory, or threatening.
6. Photos and Media
We will not use identifiable event photographs for our website, portfolio, social media, or advertising without permission from the client or, for a child, their parent or legal guardian. Permission may be declined without affecting the booking.
7. Events Beyond Our Control
Neither party is responsible for a delay or failure caused by circumstances beyond reasonable control, including severe weather, road closures, venue closure, public-health restrictions, emergencies, or serious illness. We will work in good faith to reschedule when practical.
8. Responsibility and Liability
We will provide services with reasonable care and skill. To the extent permitted by law, The Flow and Arts is not responsible for indirect or consequential losses. Nothing in these terms limits liability that cannot legally be limited, including liability arising from gross negligence or wilful misconduct.
9. Privacy
Personal information submitted through this website or during a booking is handled according to our Privacy Policy.
10. Governing Law and Changes
These terms are governed by the laws of Alberta and the applicable laws of Canada. If part of these terms is found unenforceable, the remaining terms continue to apply. We may update these terms from time to time; the version accepted when a booking is confirmed applies to that booking.
